Requirements:


·          High school diploma or equivalent


     ·          Must be able to work hours 4:00 pm to Midnight with flexibility for OT


     ·          Minimum of 5 years administrative and related technical experience


·          Legal experience highly preferred


·          Typing at 65 wpm with 80% accuracy


·          Proofreading proficiency with 80% accuracy


·          Advance proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Conversion Software - 2003, 2007, and 2010 is a plus


·          Knowledge of graphic and desktop publishing software (e.g. Adobe Illustrator, Photoshop, Visio, Publisher) 


·          Must have strong attention to details and flexibility to learn and perform a wide range of tasks


·          Excellent analytical, troubleshooting and customer service skills


·          Ability to organize and prioritize work


·          Ability to handle multiple projects, assignments and shifting of responsibilities


·          Ability to communicate effectively both orally and in writing


·          Ability to work independently and as part of a team


·          Ability handle confidential matters

Responsibilities:


·          Utilize word processing, spreadsheets, flowcharts, presentation, PDF and EDGAR software applications to create, edit, print and format a variety of documents, including highly complex and problematic files


·          Complete basic and intermediate level graphics projects (e.g., case-related exhibits and charts, pitch materials


·          Create shells for legal documents and closing CD sets (creating links from table of contents to individual documents on CD)


·          Convert documents from one application to another and to or from USB devices, thumb drives, CDs or DVDS


·          Utilize email effectively to access and manipulate attachments, CDs, discs, zip files, Adobe Acrobat, Intranet and Extranet


·          Scan and code in document management and file retentions systems (Documatrics, files, Concordance, Accutrak)


·          Assist Firm personnel with document troubleshoot, including corrupt documents and files


·          Assist with document reproduction, printing documents from electronic sources (e.g., email attachments, PDF files, CDs, etc.) and delivery of documents, as needed or required


·          Proofread and quality check legal documents and all work products performed by specialists; prepares and submit electronic filings to government agencies and courts (e.g. EDGAR, PDF/A formats)


·          Provide varied administrative support to attorneys (e.g., time entry, travel arrangements, transcription and expense report preparation)


·          Provide, after-hours support for the office  which include: answering and directing calls received on the main telephone lines; scheduling outside copy vendors, couriers, taxi/car service requests


·          Work flexible schedules with off-site work capability
